AI Agents and Business Systems

What we actually build when clients say "I want AI in my business" — and why the answer is almost never "a chatbot."

Most people hear "AI agent" and think chatbot. We don't build chatbots. We build business systems — the boring, repetitive work that eats up your team's day and never gets faster no matter how many people you throw at it. Here are the four we build over and over, because they keep proving their value.

1. Lead Scrapper — your sales team talks to the right people faster

The lead generation problem isn't finding prospects. It's qualifying them. Pulling a list of 500 names from LinkedIn is a 10-minute job. Knowing which 30 of those 500 are actually in market for what you sell, with the budget to buy it this quarter, is a 40-hour job.

Our Lead Scrapper agents do the 40-hour job in the background. They scrape public sources — directories, social profiles, regulatory filings, news — and enrich each record with the data that matters to your sales motion: industry, headcount, recent funding, tech stack, intent signals. The output isn't a spreadsheet of names. It's a scored, prioritized list your sales team can work through on Monday morning.

What it's for: B2B sales teams, real estate investors, agencies doing outbound, anyone paying a BDR to do lead research manually. The math is simple: if your BDR costs $70K/year and 60% of their time is research, you're paying $42K to do work a $400/month agent does in 10 minutes.

2. Auto Filler — never retype a form again

Every business has a version of this: customers email PDFs, your team opens them, copies the data into your CRM, types the same fields into your accounting system, files the document in a folder, then sends a confirmation email. Three systems, four copy-paste steps, one human being per transaction. Multiply by 200 transactions a month and you've hired a full-time data entry clerk you didn't need to hire.

Auto Filler agents watch the channels where documents arrive (email, web forms, shared drives, scanned uploads) and route the data straight into the systems that need it. PDFs become CRM records. Inquiries become calendar bookings with pre-filled intake forms. Vendor invoices become accounting entries with the right GL codes attached. The human's only job is the exceptions — and we make those exceptions visible so you know what's still manual.

What it's for: Any business doing 50+ repetitive transactions a month between systems. Law firms, accounting practices, healthcare admin, property management, logistics — anywhere the bottleneck is "the same data, typed twice."

3. Memory for Scanned Documents — find the contract you forgot you had

Every business has a filing cabinet that's basically a graveyard. Old contracts, vendor agreements, signed NDAs, lease addenda, expired certifications — all technically retrievable, all practically lost. And the worst part: the moment you need to find one, you can't. "Where is that Master Services Agreement from 2023?" turns into a 3-hour scavenger hunt that involves three people and a shared drive with 14,000 files named "Scan_2023_final_v2.pdf."

Memory agents ingest your scanned pile — PDFs, images, faxes, photos of paper documents — and make it searchable in plain English. Not just keyword search. Real natural-language queries: "Show me every contract over $50K with vendors in Texas from the last two years." The agent returns the document, the page, the relevant clause, and a one-sentence summary of what it says. Suddenly your archive is a database you can actually use.

What it's for: Legal, accounting, healthcare, real estate, any business with retention requirements and a scanning habit. We've seen clients recover 30+ hours a month just from not having to dig for documents anymore.

4. Website Builder — describe it, ship it

Here's the part most people don't believe until they see it. You can sit down with one of our agents, describe the business, the audience, and what you want the site to do — and walk away with a live, deployed, mobile-responsive website by end of day. Not a wireframe. Not a "coming soon" page. The actual site, with copy, images, forms, and a working backend.

The trick isn't that the agent writes code fast. It's that the agent does the whole job: research, copy, design, build, deploy, integrate with your CRM and payment systems. The same agent that built usamagnum.com built the form integrations, the popup scheduling, the contact pipeline. The same system built HTX Corvettes' ticketing flow and OverRevving's content pipeline. These aren't templates — they're real systems, generated for each client, then handed off for you to operate.

What it's for: Small businesses that have been putting off a website for two years. Established businesses whose site is embarrassing them. Anyone paying a web agency $15K and waiting 90 days for a homepage.

Why these four

Every AI project we take on falls into one of those four buckets, because those are the four places AI agents earn their keep: finding things, moving things, remembering things, and building things. Anything else is usually a chatbot.

If you're running a business and you've got repetitive work that a person is doing because nobody built a system for it, that's exactly where an agent belongs. Call us. We'll tell you honestly whether it's a fit.
